JOB DESCRIPTION:

Update, edit, and restructure documents in Excel, Word, and Adobe (PDF) to improve clarity, usability, and efficiency.
Streamline and modernize forms: reorganize layout, simplify flow, reduce duplication, and enhance user navigation.
Standardize formatting, naming conventions, headers, footers, and version control.
Build or refine templates, checklists, and operational forms for field and office use.
Review existing documentation to identify inefficiencies and implement improvements to content, structure, and workflow.
Convert outdated documents into digital, fillable, or more accessible formats (e.g., PDF forms, editable tables, automated Excel sheets).
Maintain organized archives and ensure documents are accurate, consistent, and up to date.

What are the MUST HAVE Professional or Technical skills for this position?

Technical Review & Interpretation
Proficiency with Microsoft Excel, Word, and Adobe Acrobat (PDF editing).
Read, understand, and can work with maps, schematics, and technical drawings, particularly those used in the natural gas or utility industry.
Interpret geographic and system data to support field operations and supervisors.
Assist with organizing system maps, updating references, and ensuring accuracy of technical materials.

What are the NICE TO HAVE skills for this position:

Familiarity with GIS tools or mapping software.
Understanding of utility operations, construction workflows, or field documentation.
Experience creating or maintaining standard operating procedures (SOPs).
Prior experience in the natural gas industry or another utility field (electric, water, etc.) strongly preferred.

Can collaborate with supervisors, field staff, and operations teams to understand documentation needs.
Maintain clear communication and assist in preparing materials for audits, regulatory reviews, or internal use.
Strong attention to detail and organization skills are a must

Primary Function 70%
The team currently relies on a mix of paper forms and Excel-based documents to collect and manage operational data. Many of these forms are outdated and inconsistent.
This individual will:

Overhaul and modernize 66 core operational forms
Redesign and standardize formatting (headers, footers, naming conventions, version control)
Reorganize and improve usability of forms to support regulatory compliance and operational clarity
Convert paper-based processes into structured digital formats (Adobe fillable forms, structured Excel tools, editable templates)
Rebuild and streamline a 500-page main document repository (project due by year end)
Ensure consistency, accuracy, and alignment across all documentation

Secondary Function 30%
In addition to documentation modernization, the role supports threat identification and risk mitigation efforts by:

Reviewing and interpreting maps, schematics, and transmission gas system documentation
Working with cross-functional groups to collect and format operational data
Supporting ad hoc data review and documentation requests
Assisting in maintaining accurate system records and references
Contributing to improvements in how geographic and system data are documented
Candidates should be comfortable reading utility maps and understanding spatial relationships within a natural gas system.

Preferred but not required:

GIS familiarity
Experience supporting transmission or field operations
Experience modernizing legacy documentation systems
