Position Summary

Under minimal supervision, performs a wide range of administrative duties of significant scope and complexity, requiring independent judgment and thorough knowledge of established procedures.

Responsibilities

Perform a variety of administrative tasks following established procedures.

Operate word processing, spreadsheet, and database applications to prepare documents that may include financial, statistical, technical, or legal data.

Create, edit, and proofread reports, correspondence, and presentations to ensure accuracy and clarity.

Collect data, conduct research, and compile information for reports and projects, applying a variety of mathematical or analytical calculations.

Set priorities and determine procedures for accomplishing work; may delegate tasks or provide assistance to others.

Coordinate and schedule meetings, appointments, and travel arrangements (domestic and international).

Interface professionally with internal departments, management, and external contacts; handle calls, inquiries, and visitors courteously.

Prepare meeting materials, take accurate minutes, and track follow-up actions.

Coordinate logistics for meetings and events, including travel, lodging, catering, agendas, and guest speakers.

Maintain organized and confidential filing and record-keeping systems.

Identify and communicate potential delays or issues to management in a constructive manner.

Perform other related administrative duties as assigned.

Requirements

Minimum of three (3) years of related office or administrative experience, or demonstrated ability to perform described responsibilities.

Education certificate or coursework in business administration or related field preferred.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.

Thorough knowledge of office equipment, administrative procedures, and terminology relevant to the functional area.

Ability to type 55 WPM accurately and efficiently (if required).

Strong verbal, written, and interpersonal communication skills.

Proven ability to work independently, handle multiple priorities, and function effectively as part of a team.

High degree of professionalism, discretion, and organizational skill.
