Job Description
As a Meeting and Events Coordinator, you will be responsible for planning, organizing, and executing a variety of events, including corporate meetings, conferences, workshops, and social events. You will work closely with internal teams, vendors, and clients to ensure that all events are delivered to the highest standards and meet the desired objectives.

Key Responsibilities:

Event Planning and Coordination:
Plan and coordinate all aspects of meetings and events, including logistics, budgeting, scheduling, and vendor management.
Develop event concepts, themes, and agendas that align with the organization's goals.
Prepare detailed event timelines, checklists, and action plans.

Vendor and Venue Management:
Identify, negotiate, and manage relationships with vendors, suppliers, and venues.
Coordinate with vendors for catering, audio-visual equipment, transportation, accommodation, and other event-related services.
Conduct site visits and inspections to ensure venue suitability and compliance with event requirements.

Communication and Marketing:
Create and distribute event invitations, promotional materials, and communications to attendees.
Manage event registration, RSVPs, and attendee lists.
Develop and maintain relationships with key stakeholders, sponsors, and partners.

On-site Event Management:
Oversee event setup, execution, and breakdown.
Coordinate with staff, volunteers, and vendors to ensure smooth event operations.
Handle any on-site issues or emergencies promptly and effectively.

Budget and Financial Management:
Develop and manage event budgets, ensuring cost control and adherence to financial guidelines.
Track and reconcile event expenses, process invoices, and ensure timely payments.
Provide post-event financial reports and evaluations.

Post-Event Evaluation:
Collect and analyze feedback from attendees, clients, and stakeholders to assess event success.
Prepare and present post-event reports, including recommendations for future improvements.
Maintain records of all event-related activities, contracts, and communications.

Qualifications:
Proven experience (3+ years) in event planning and coordination.
Excellent organizational and multitasking skills, with a keen attention to detail.
Strong communication and interpersonal skills, with the ability to build and maintain relationships.
Proficiency in event management software and tools.
Ability to work under pressure and meet tight deadlines.
Flexibility to work evenings, weekends, and travel as required.

Preferred Skills:
Experience with corporate events, conferences, and large-scale meetings.
Knowledge of event marketing and promotion strategies.
Familiarity with budgeting and financial management.
Creative problem-solving skills and the ability to adapt to changing circumstances.
