Ensuring that members have easy to understand and quick access to all of the necessary information to implement the contract portfolio is critical to the success of our committed model. Accuracy, timing, and completeness of information are paramount. The Communications Specialist is responsible for all member-facing contract communication information available through our member portal. This includes the independent development of the complete contract package for every agreement in the portfolio, as well as the weekly response, distributed to announce new contracts, contract changes, or critical information pertaining to product recalls. In addition, this individual develops various reports that are used externally with members and internally to drive operations of the organization. The person in this position communicates and collaborates with various internal and external stakeholders, including but not limited to: Suppliers, HealthTrust Sourcing teams, HealthTrust Member Services, and HealthTrust Web team. This collaborative process is critical in order to assure that all communications are accurate and published on time. This individual must demonstrate the ability to work independently and adhere to critical timelines. A strong knowledge of the contracting process, contract terminology, communications process is essential, along with the ability to manage multiple deadlines in a fast-paced environment. Supervisor: Communications Manager Supervises: No one Key Responsibilities Contract Package preparation: 50% Independently develops Contract Packages and updates the member portal for Commercial, Core GPO, SourceTrust and Pharmacy business units. Contract package documents include the Contract Summary/FAQ, Price File, Cross Reference, Value-Adds, Letters of Commitment, Standardization Incentive Programs, and other documents as applicable to the agreement. Independently develops documentation, and assures accuracy of all documents received in preparation of the contract package, by analyzing the information, collaborating with the Negotiator/Portfolio Specialist and Supplier. Edits all documents as necessary to assure accuracy and consistency in accordance with the agreement. Consistently meets deadlines for all member communications Ensures that all Contract Packages are consistent with HealthTrust established marketing and brand guidelines. Develops all communications independently and in accordance with establish protocol. This is critical to the role as there is no management review of the final products before publishing. Performs peer review of contract package documents to assure quality and consistency. Provides guidance to the Sourcing team regarding required documentation, communication process and required timelines for publication. Authors the announcement articles, and leads the communication process through collaboration with the negotiator to jointly meet the established timeframe for communication to the HealthTrust membership. Actively participates in contracting Functional Team meetings and Implementation meetings regarding contract package requirements for the membership. Proactively identifies incomplete, inaccurate, or unclear information, and promptly communicates these areas of concern with the Sourcing team to prevent delays in the timeline. Contract Change communication 10% Develops the contract change reports weekly or per established schedule. This process is the method utilized to communicate updates regarding products that have been added or deleted to a contract, price changes, catalog number changes, contract extensions and contract expirations. Numerous HealthTrust systems are queried for the required information. The following reports are refreshed and published Summary Change Report Detail Change Report Contracts by Vendor National Contract Listing Conversion Report Contracting Calendar SIP Report Extension Report HealthTrust Response, Pharmacy Response, and Special Announcement publication: 20% Coordinates and collaborates with Sourcing and Legal teams to develop contents Assures that all material is accurate, current, and that it meets all established format requirements Coordinates and collaborates with HealthTrust Webmaster team to assure that the articles and contents are submitted, formatted, and processed as necessary for timely inclusion in the HealthTrust Response and HealthTrust Pharmacy Response. Reviews and proofs the final version of all HealthTrust Responses prior to publication to the membership. Responds to inquiries from members that are sent to the Corp Communications Coordinator inbox, or through HealthTrust Customer Service. Member Portal Management and Maintenance: 20% The member portal is web based and requires experience with web content management Assures that several areas on the Member Portal are current with updated contents, including the Contracting page (Contract Package contents) and also the News page. Updates contract information as needed, in collaboration with the negotiator and supplier. Duties (included but not limited to) Independent development of all HealthTrust member communication Maintain proficiency with applicable HealthTrust systems Maintains flexibility regarding schedule priorities Actively participates in Sourcing Team meetings Provides information and education related to the Communication process Comply with all company and department policies and procedures Partner with all applicable teams and departments to actively contribute to team performance in meeting department and organizational strategic vision and goals Knowledge, Skills & Abilities Excellent interpersonal, organization, computer and analytical skills Demonstrated excellent oral and written communication skills, including spelling and grammar usage Knowledge of Dreamweaver and HTML Web content management experience a plus Critical thinking and ability to trouble-shoot and continually refine processes Demonstrates ability to manage multiple tasks and prioritize in order to meet timelines. Excellent customer service skills Must be able to work independently and with teams Solid knowledge of MS Office products, particularly Excel and Word. Education Bachelor?s degree required. Experience 3-5 years relevant experience in business, writing/publishing, or contract communications. Experience communicating contract portfolio value to customers is strongly preferred. GPO contract operations experience preferred Physical Demands/Working Conditions: Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires lifting papers or boxes up to 35 pounds occasionally. Work is performed in an office environment. Work may be stressful at times. Contact may involve dealing with angry or upset people. Staff must remain flexible and available to provide staffing assistance for any/all disaster or emergency situations. Travel required. OSHA Category: The normal work routine involves no exposure to blood, body fluids, or tissues (although situations can be imagined or hypothesized under which anyone, anywhere, might encounter potential exposure to body fluids).
