Shift: 7-3:30pm (Mon-Fri)

POSITION SUMMARY:

With general supervision, responsible for administrative duties of moderate scope and complexity which requires independent judgement and familiarity with applicable procedures.

RESPONSIBILITIES:

Following established procedures, perform administrative duties. Responsibilities may include some or all of the following:
Order entry ? keystroking into client ERP Systems
Quote status, follow-up activity and processing
Purchase order review and processing
Customer portal management ? download/upload RFQ?s, Purchase Orders, Execution reports
Credit/Add Bill processing
WAWF submissions
CAVs processing and status updates
Enter and manipulate data on spreadsheet, data base or file management programs and perform a broad range of typing projects.
Gather data and perform basic mathematical calculations.
Collect, prepare, review and distribute documents as required. Proofread and correct grammatical, typographical, compositional, or data errors.
Provide assistance in the administration of assigned activities.
Conduct inquiries into specific problems, such as delays, to assure objectives are being met.
Interface effectively with functional departments, teams and customers. Screen calls, respond to routine questions and receive and/or escort visitors.
Maintain accurate and up-to-date files and record systems. Receive reports and take appropriate action as needed.
Schedule appointments and make routine travel arrangements.
Schedule group meetings requiring coordination of travel, meeting room setups, menus and hotel accommodations.
Maintain confidential records and reports.
Order stationery and supplies. Perform other related responsibilities.

JOB REQUIREMENTS:
Two years related office experience or demonstrated ability to perform described responsibilities. Ability to accurately type 50 wpm, where applicable. Personal computer skills preferred.
Fluent in Microsoft Office programs (MS Word, MS Excel, MS Powerpoint, etc.)
Knowledge of terminology in functional area.
Must demonstrate effective verbal, written and interpersonal communication skills.
Ability to work effectively with others and be a participative team player.
