Position: Administrative Assistant Pay: $30 - $40/hr Location: San Fran, CA (Remote available) Schedule: 9AM - 5:30 PM PST (may work about 5 hours of OT weekly or bi-weekly) General Description: Provide comprehensive administrative support for five executives across various time zones (mainly west coast). This role includes managing calendars, travel bookings, expenses, and other administrative tasks. Additionally, provide support to the Foundational team(s) as needed, including maintaining complex calendars and coordinating with executives, partners, and the Executive Operations Team. Key Skills: - 4+ years of experience as an Administrative Assistant, Recruiting Coordinator, Executive Assistant, or similar role, ideally with both small and large-scale technology companies. - Exceptional calendar management, handling up to 3 or more calendars with 80% of the role focused on calendaring. - Ability to prioritize effectively and manage competing priorities and schedules. - Exceptional written and verbal communication skills. - Proficiency with Apple PCs and Google Suite, including Google Calendar, Docs, Sheets, Forms, and Slides. - Experience with logistical bookings, including Trip Actions (Navan) and Expensify. - Nimble and quick in thought, able to thrive in a fast-moving tech environment. - Experience supporting executives across various time zones. - Strong cross-collaboration skills, able to work effectively with other EAs and AAs. Responsibilities: - Provide administrative support for five executives. - Proactively manage the executives??? calendars, travel bookings, expenses, and other administrative tasks. - Support the Foundational team(s) by maintaining complex calendars, coordinating with executives, partners, and the Executive Operations Team. - Maximize executives' time by effectively managing their calendars and providing quarterly analysis of time spent. Collaborate with the team???s EA lead to optimize time management. - Work within the centralized Executive Operations team to provide coverage for other executives as needed. - Take on team-based projects and provide input and suggestions to enhance the team's overall efficiency. Requirements: - High School Diploma. - At least 2 years of administrative experience working in the tech industry. Interview Process: - 2-3 rounds of interviews.## | |
