Weekly Pay! $20.00/Hour Shift Timings: 8:00AM to 5:00PM Description: This position requires at least 2-4 years of experience in an executive level administrative position in a demanding international matrix environment with various time zones and cultures. Proficient computer skills including MS Office products and web applications. 100% onsite in Franklin , TN or Boston, MA, hybrid work schedule is possible, candidates must be local to either work location/city. Include city of residence with submittal. This would be a temp to hire opportunity for the right candidate Notes from call with hiring manager on 4/16/24: Looking for an EA with the following experience/tenure: Working for large global corporations Ability to support global companies. Good communication across cultures Not an admin. role, this is a true EA role Managing conflict in calendars Good problem-solving skills, digging deeper for solutions ?think outside of the box? Great if they?ve worked with fortune 500 companies Good executive level EA support, VPs, Stakeholders, etc. The selected candidate will use independent judgment to provide timely and effective administrative and clerical support to Senior Leadership. Other duties may include but are not limited to: Collaborates with peers and supports leaders in a multi-cultural, multi-time zone environment Manages daily calendar within Outlook for global leaders Handles expense reporting through Concur Coordinates small and large meetings (e.g., scheduling conference rooms, coordinating food, logistics, note taking, minutes of meeting) Reserves domestic and international travel and hotel arrangements as needed; proactively identifying requirements for travel documents such as visas, invitation letters, etc. Prepares and files expense reports General office duties such as word processing, spreadsheets, presentations, flow of correspondence, filing, requisition of supplies, faxing, etc. Coordinates agenda and materials for meetings and training sessions and other activities of the organization Maintains and updates databases, organizes and manages data on social media / shared sites as needed Assists in preparation of business review materials Screen telephone calls, incoming mail, publications and other correspondence, including confidential information. Establishes and maintains highly confidential files Receives and distributes incoming mail and coordinates outgoing mail, including courier services, postage meter account, and interoffice mail distribution Provides administrative support to staff for copying, faxing and large-scale mailings Responds to staff requests for administrative support as needed Ability to multi- task and prioritize many work items simultaneously Proficient computer skills including MS Office products and web applications. Excellent organizational skills, as well as verbal and written communication skills required. Results oriented and able to make decisions without direct supervisor involvement and open to work in a multi-cultural environment. Soft skills enabling quick integration in the network of Executive Assistants. Must have a positive attitude and flexibility to work outside of regular schedule when special events require admin support. | |
