Seeking to hire a Administrative Assistant for our client in Louisville, CO! Benefits Available! Weekly Pay! 24.81 Per Hour Description Answer general phone inquiries using a professional and courteous manner. Direct phone inquires to the appropriate person. Reply to general information requests. Greet visitors in a professional and friendly manner. Use MS Office including MS Word, Excel and PowerPoint to prepare reports, memos, and documents. Sort incoming mail, faxes, and courier deliveries for distribution. Prepare and send outgoing faxes, mail, and courier parcels. Purchase, receive and store the office supplies and replenish as needed. Code and file material. Provide secretarial and administrative support to management and other staff. Make travel, meeting and other arrangements for staff. Coordinate the maintenance of office equipment Certification Secretarial business school certificate. The Officer Manager is responsible for the general operation of our office. Duties will involve greeting visitors, purchasing office supplies and taking proper inventory. Will also have some occasional administrative support to the Executives, VP's and Directors. To be a successful hire, you will need to have prior experience in office administration. You will also need to be proficient in Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint. The ideal Office Manager maintains a positive attitude and energy and can multitask with a smile! Job responsibilities Oversees all critical office operations. Greets visitors and acts as first point of contact while delivering world-class service. Acts as first point of employee contact, assisting employees with questions and concerns. Provides support and assists staff with assigned administrative duties such as sorting and distributing mail, managing UPS FedEx shipments, and preparing documents. Serving as primary day to day contact for vendors, catering service, landlord, etc. Coordinates appointments and meetings. Works with management to coordinate both facility and interdepartmental events. Oversees all access to the building during business hours managing electronic access badges. Develops and maintains relationships with vendors. Maintains inventory of office supplies orders new supplies as needed. Making travel arrangements, completing expense reports, calendar coordination in Microsoft Outlook for executives Event planning for office. Will be partnering with local culture club, and various departments throughout Sovos Brands to ensure events are Receive incoming supplies and distribute them. Assist recruiting team in scheduling, travel for candidates, onboarding, etc. Plan in house or off site activities, like parties, happy hours, celebrations, trainings, and meetings adhering to budget and objectives provided for event Performs all related duties as assigned. Minimum Qualifications High School diploma or GED required. 2 years of recent experience in office administration or executive administrator Excellent communication skills required both written and verbal. Must be able to effectively communicate with customers, vendors, and internal team members. Must be able to create documents, spreadsheets, with a strong knowledge of specific programs MS Office, Outlook, Excel, and PowerPoint. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Preferred Qualifications Associate degree or equivalent preferred Physical Demands Seeing Must be able to see well enough to read reports, labels and use a computer. Hearing Must be able to hear well enough to communicate on the phone and in person. Climbing Stooping Kneeling Must be able to stoop and kneel for short periods of time. Lifting Must be able to lift up to 25 pounds on an occasional basis. Fingering Grasping Feeling Must be able to write, type, and use the phone system.
