The Administrative Assistant position entails diverse responsibilities that require excellent organizational and communication skills. The role involves composing and processing complex letters, memoranda, faxes, emails, reports, and presentations using Microsoft Office suite applications. Additionally, the candidate will be responsible for designing and editing spreadsheets or presentations, as well as printing and distributing reports or communications. Ensuring timely completion of various tasks, such as compliance training, ABD projects, sample allocation, and business plan tracking, is a crucial aspect of the role.

The candidate will play a key role in coding and processing invoices for payment, preparing monthly expense reports for supported managers, and reviewing/auditing expense reports. Budget tracking and researching discrepancies for overspending and underspending will be part of the responsibilities. The Administrative Assistant will assist in coordinating time-sensitive projects, including recruiting, orientation/onboarding, performance review processes, business reviews, and expansion projects. Additionally, oversight of overall office management is expected.

Handling telephone calls in a courteous and professional manner is a critical duty, acting as the first line of contact for internal and external customers, managers' staff, and field personnel. The candidate will answer questions related to the company, current department projects, office operations, and established policies and procedures. Discretion and discernment are essential in managing the manager's complex day-to-day business calendar, involving numerous telephone calls and emails to coordinate both internal and external activities.

The Administrative Assistant will organize and plan department meetings, conferences, and events, securing suitable meeting spaces, audio/visual equipment, supplies, and coordinating purchases with vendors. Managing domestic and more complex travel, car service, and hotel arrangements for Directors is also part of the role. Verification and reconciliation of expenses in preparation for submission will be a regular task.

Skills required for this role include strong organizational skills, excellent time management skills, outstanding customer service skills, a detail-oriented work style, a strong understanding of technical and business vocabulary, and excellent oral and written communication skills. The candidate should be able to handle multiple tasks, including extremely confidential matters where knowledge is limited to very few in the organization. The ability to interact with staff, particularly senior-level management, senior external clients, vendors, and industry professionals, is crucial. Effective project management skills are also a competency sought in the ideal candidate.

In terms of experience, one or more years of overall related experience is required. Four or more years of related experience with a high school diploma is preferred, while a business school degree or associate's degree is also preferred. One or more years of lead/senior administrative assistant experience supporting high-level managers within a regional field sales office of a pharmaceutical and/or medical device company is preferred.

Education requirements include a high school diploma or equivalent, with an associate's degree or business school degree preferred. The Administrative Assistant will be a key player in streamlining office procedures and organization through meetings with the entire admin staff and may be required to attend meetings, record minutes, and follow up on action items.
